Protecting Your Data

This section sets out how, why and for how long we will use your personal information, as well as who it is shared with. It also explains your legal rights and how to exercise them. If you would like to know any more about this, we’d be happy to help – just ask your worker.

We want you to have control over your own story.

What information do we keep about you?
We keep information about you from the moment you are referred to us. This can come from forms or what we are told about you. This can come from you or other people, like your social worker or school.

This might include sensitive information such as details about your health or sexual identity.

Our workers will write a record of a visit or phone call with you. They may also keep a record of phone calls or emails they get from other people about you or your family. We will talk to you about what we are noting down about our time together on our system and in any reports that we are asked for.  We will show you what we are putting in reports unless you don’t want to read these.

Many of the people we support have told us that they worry about what is written about them by organisations like includem. We understand this and work really hard to make sure that what we write about you is accurate and includes your own words.

What do we do with your information?
We have a duty to protect your data under GDPR. This means we’ll store your information safely and securely, whether that is digitally or on paper. We’ll only share information in the way we explain in the privacy video. There might be times when we must give your information by law to another organisation, for example through a police warrant.

Your rights
You can ask to see your records at any time. Any of your includem support team will help you to do this. We then must get the information to you within a month. We can’t give you information that might have been recorded about someone else, including people in your family. They would have to make their own request. Usually, we will keep your information only for as long as it is reasonable and necessary. We can keep your records for up to 75 years.
